Postmark is a revolutionary leap in removing firms’ paper burdens 

DocSolid, the leader in enterprise scanning and printed document reduction solutions for the legal market, announces the launch and market availability of Postmark, an innovative technology that integrates with a law firm’s document management system (DMS), visually identifies printouts, and enables document destruction certainty.  

Co-developed with Weil, Gotshal & Manges LLP, Postmark is a revolutionary leap in strengthening law firms’ information governance needs by closing the digital and physical records gap, and eliminating half of a firm’s onsite paper storage footprint.   DocSolid will demonstrate Postmark at booth #727 at ILTACON in National Harbor, MD, August 28th-September 1st. 

More than half of the paper documents that gets handled, filed, and stored in a law firm are already filed electronically in the firm’s document management system (DMS), according to a 2016 DocSolid study with 13 law large firms. These paper documents have been printed because attorneys and staff sometimes prefer to work with paper.  The prints are stored, often multiple times, in file rooms, offices and eventually offsite storage. The excessive management and storage of these paper documents presents severe business issues in terms of cost, risk and operational inefficiencies. 

Postmark identifies those paper documents that have been printed from an electronic document already filed in the DMS by printing a small bar code in a corner of the document. This bar code brand on the paper denotes that a corresponding electronic copy is filed in the DMS. After the paper document is used, it can be destroyed instead of filed with affirmation that the electronic version is secured. Document destruction can be administered by firm or practice policy, at various stages of the paper lifecycle. 

Postmark addresses other paper-to-digital needs as well. For example, a hand-notated printout from the DMS can be scanned and auto-filed as attorney notes back to the DMS matter because the Postmark bar code is used to link the scanned image to the related client-matter-folder from which it came.  Postmark integrates with leading legal industry DMS solutions, including iManage and OpenText eDOCS.
